- ABOUT THIS POLICY
SLS Creative Ltd trading as SLS Productions (“SLS Productions”, “SLS”, “we”, “us” or “our”) respects the privacy of the people whose personal information we handle.
This Privacy Policy explains what personal information we may collect, why we use it, how we protect it, when we may share it and the rights individuals have under UK data protection law.
It applies to personal information handled in connection with our video production, photography, live-event, promotional, corporate, training, live-streaming and digital-delivery services, as well as enquiries, quotations, bookings, website use and business administration.
Where SLS determines why and how personal information is used, SLS acts as a data controller. In some circumstances we may process information supplied by or on behalf of a client as part of delivering an agreed service. Our responsibilities will depend on the circumstances and the contractual arrangement in place.
- INFORMATION WE MAY COLLECT
Depending on the services being provided, we may process:
- names, job titles and organisation details;
- postal addresses, email addresses and telephone numbers;
- enquiry, quotation, booking and contractual information;
- invoice, payment and transaction records;
- correspondence and customer-service information;
- event, venue, production and technical information;
- names and information contained in running orders, credits or production materials supplied to us;
- customer email addresses supplied for administration of MediaZilla viewing access;
- photographs, video recordings, audio recordings and other production footage;
- images and voices of performers, participants, audience members or other people captured during an agreed production;
- logos, photographs, graphics and other materials supplied by clients; and
- technical information relating to use of our website, including information generated by cookies or analytics tools where these are enabled.
We ask clients not to provide children’s names, addresses, medical information or other unnecessary personal information where it is not required for the service being provided.
- WHERE WE OBTAIN PERSONAL INFORMATION
We may receive personal information:
- directly from clients or prospective clients;
- from schools, organisations, venues or authorised client representatives;
- from parents or customers where they contact us directly;
- through production documents supplied to us, including running orders and credits;
- when filming, photographing or recording an agreed production or event;
- through our website or other communication channels; and
- from professional advisers, suppliers or service providers where appropriate.
Where a client supplies personal information about another person, including customer email addresses, the client is responsible for ensuring that it has an appropriate lawful basis or other valid authority to provide that information to SLS.
- HOW WE USE PERSONAL INFORMATION
We may use personal information to:
- respond to enquiries and prepare quotations;
- administer bookings and contracts;
- communicate with clients regarding productions;
- plan filming, photography or other production work;
- film, photograph, record, edit and complete commissioned productions;
- create titles, credits, menus and chapter information;
- provide proof copies and manage requested amendments;
- deliver completed productions;
- establish and administer authorised MediaZilla viewing access;
- provide technical or customer support;
- manage payments, accounts and business records;
- maintain appropriate production backups;
- protect our legal rights and respond to disputes or complaints;
- comply with legal, regulatory, accounting and tax obligations; and
- carry out appropriate direct marketing relating to SLS services where permitted by law.
We will not use personal information for a materially different purpose without first considering whether further information, consent or another lawful basis is required.
- OUR LAWFUL BASES
Depending on the circumstances, SLS may rely on one or more lawful bases under UK data protection law.
Contract – where processing is necessary to take steps before entering into a contract or to provide services under an agreed contract.
Legal obligation – where information must be processed or retained to comply with applicable law.
Legitimate interests – where processing is reasonably necessary for operating and protecting our business, administering productions and services, maintaining appropriate records, supporting clients, preventing misuse, establishing or defending legal claims, or carrying out appropriate business-to-business marketing, provided those interests are not overridden by an individual’s rights and interests.
Consent – where consent is the appropriate lawful basis for a particular use of personal information. Where processing relies on consent, that consent may be withdrawn.
The lawful basis used by a client for obtaining filming permissions or providing personal information to SLS is the responsibility of that client.
- FILMING CHILDREN, PERFORMERS AND EVENT PARTICIPANTS
Many SLS productions involve dance schools, theatre productions and other events at which children, young people or other performers may appear.
The client commissioning the production is responsible for ensuring that performers, parents, guardians and other relevant participants are appropriately informed about filming and that any permissions, consents or other authorisations required for the production have been obtained.
SLS will use recorded material for the agreed production and associated services in accordance with the relevant contract.
Promotional use of footage remains subject to appropriate copyright, performer, safeguarding, venue and other permissions.
- MEDIAZILLA AND DIGITAL DELIVERY
SLS uses MediaZilla as a third-party platform for online viewing of completed productions where this forms part of the agreed service.
For authorised customer access, SLS normally requires a valid email address for each customer. Clients should not provide names, children’s details, postal addresses or other information unless specifically required.
Customer information supplied for this purpose will be used only as reasonably necessary to establish, administer and support the agreed viewing service.
MediaZilla is an independent third-party service. Its availability, functionality and handling of personal information are also subject to its own terms and privacy information.
- OTHER SERVICE PROVIDERS
SLS currently uses third-party services to operate and deliver its business, including:
- WordPress for the SLS website;
- Google Workspace and Gmail for business email;
- Google Drive for file storage and collaboration;
- Dropbox for file storage and transfer;
- Dropbox Replay for video proofing and review;
- MediaZilla for online video delivery;
- QuickBooks for accounting, invoicing and financial administration; and
- Stripe for card-payment processing.
We may also use professional IT, hosting, communications or business-support providers where reasonably necessary.
We disclose only the personal information reasonably required for the relevant service. Third-party providers process information under their own contractual and privacy arrangements.
- PAYMENTS
Clients may pay SLS by bank transfer or, where offered, through Stripe.
Stripe processes card-payment information through its own payment systems and privacy arrangements. SLS retains the accounting and transaction information reasonably required to administer the booking, reconcile payments and meet legal and financial-record obligations.
- INTERNATIONAL DATA TRANSFERS
Some of the technology providers used by SLS may process or store information outside the United Kingdom.
Where UK data protection law requires safeguards for an international transfer, SLS will rely on an appropriate lawful transfer mechanism, such as UK adequacy regulations, the UK International Data Transfer Agreement, the UK Addendum to approved standard contractual clauses, or another legally permitted safeguard as applicable.
- STORAGE AND RETENTION
SLS keeps personal information only for as long as reasonably necessary for the purpose for which it was collected, taking account of contractual, operational, legal, accounting, tax, safeguarding and dispute-resolution requirements.
Our current production-retention practice is:
- raw camera footage is deleted once the completed show has been approved;
- completed show master copies are retained as long-term backup copies to support continuity of delivery, including in case MediaZilla becomes unavailable;
- SLS maintains separate backup copies of completed show productions as part of its production-continuity arrangements;
- customer email addresses used for digital viewing are retained only for as long as reasonably necessary to establish, administer and support the agreed viewing service;
- proofing material may be removed once the proofing and approval process is complete and it is no longer reasonably required; and
- financial, contractual and business records are retained for the periods reasonably necessary to meet legal, tax, accounting, contractual and legitimate business requirements.
Where a third-party platform is used, information held within that platform may also be subject to the provider’s own retention arrangements.
- SECURITY AND SAFEGUARDING
SLS takes reasonable technical and organisational measures to protect personal information and production material against unauthorised access, accidental loss, disclosure, alteration or destruction.
Access to personal information and production material is limited to people who reasonably require it for their role.
SLS manages its core filming and post-production workflow in-house as part of its safeguarding and production-handling approach. Where professional third-party hosting, proofing, storage or delivery services are used, appropriate data-protection considerations are taken into account.
- DIRECT MARKETING
SLS may contact previous clients about repeat bookings and may tell existing or former clients about new or related SLS services where this is permitted by UK data protection law and the Privacy and Electronic Communications Regulations (PECR).
We will not send electronic marketing where consent is required unless the necessary consent has been obtained or another applicable legal permission, such as the products-and-services soft opt-in, is available.
Marketing messages will identify SLS and provide a clear way to opt out. If someone asks us not to send further marketing, we may retain limited contact information on a suppression list so that their preference can be respected.
- WEBSITE AND COOKIES
The SLS website runs on WordPress.
The website may use cookies that are necessary for core site functionality. Where non-essential cookies or similar technologies are used, appropriate information and consent controls will be provided where required.
Google Analytics is used on the website where enabled to help us understand how visitors use the site and improve its performance. Analytics cookies or similar technologies will be handled in accordance with applicable cookie and data-protection requirements.
Third-party content, plugins or services used on the website may also set or access cookies where relevant. The website’s cookie controls should be used to manage non-essential cookies where available.
- SHARING PERSONAL INFORMATION
We may disclose personal information to:
- the service providers listed in this policy where necessary to provide their services;
- authorised people working on behalf of SLS where access is necessary to perform an agreed service;
- professional advisers or insurers where necessary;
- law-enforcement agencies, regulators, courts or other authorities where required or permitted by law; and
- another organisation where required in connection with a legitimate restructuring, sale or transfer of the business, subject to appropriate protections.
We do not sell personal information.
- YOUR DATA PROTECTION RIGHTS
Depending on the circumstances and the lawful basis being used, individuals may have rights to:
- be informed about how their personal information is used;
- request access to personal information held about them;
- request correction of inaccurate or incomplete information;
- request deletion of personal information in certain circumstances;
- request restriction of processing in certain circumstances;
- receive certain personal information in a portable format where the right applies;
- object to certain processing, including direct marketing; and
- withdraw consent where consent is the lawful basis for processing.
These rights are not absolute and exemptions or restrictions may apply under data protection law.

We will provide a clear and accessible method for raising a data-protection complaint. We will acknowledge receipt of a data-protection complaint within 30 days, investigate it appropriately, keep the complainant informed where required and communicate the outcome.

- CHANGES TO THIS POLICY
We will review this Privacy Policy periodically and update it where our services, systems, suppliers, legal obligations or data-handling practices change.
Where a material change affects how we use existing personal information, we will take reasonable steps to bring that change to the attention of affected individuals where required.
